Privacy policy

The Alaxia Group is committed to ensuring the privacy and data security of every information of individuals with whom the organisation operates. The policy details elaborate how we manage the personal information provided about you. Personal information submitted to Alaxia Group whether over the internet or by other means, is maintained, controlled and kept secure by Alaxia Group. Reference to ‘personal information’ has the same meaning as the definition under the Privacy Act 1988 (Cth) which includes (without limitation) an individual’s name, address, phone number, date of birth, signature, credit information, photographs, employment history.

Alaxia Group requests your personal information for specific purposes, for example, we may request personal information from you if you: 

  • Request to be notified when our website is updated;
  • Request information regarding the services and products we provide;
  • Provide feedback through intermittent on-line surveys;
  • Request to be notified of the issuing of news items or press releases; or
  • Provide feedback on a particular issue so we can contact you if needed.

Collection of personal information 

Personal information provided to Alaxia Group will be kept confidential and will only be used for the purpose it was given and in a way that is necessary for Alaxia Group to carry out its services, which may include (without limitation) marketing, research, planning and product development. The kinds of information we typically collect include names, address, phone number, email address, place and type of business and other information relevant to providing you with our services and products. 

As much as possible, we collect this information from you personally through the use of any of our standard application forms, in meeting with you, over the internet, via email or through a telephone conversation with you. There may also be circumstances where we collect information about you indirectly from third parties. Should we collect your information indirectly, we will contact you as soon as reasonably practicable and notify you as to how we collected the information and for what purposes it will be used. We will ensure to the best of our abilities that this purpose is made known to you at the time you submit your personal information.

By provided your personal information to Alaxia Group, you consent to Alaxia Group providing your personal information to agents and contractors of Alaxia Group solely to carry out the services they are performing for Alaxia Group.  Alaxia Group’s agents and contractors are required to keep your personal information confidential.

Use and disclosure of personal information

We will only collect personal information about you where we consider it is necessary or desirable for one or more of our business activities or functions. The kinds of activities the personal information is used for includes:

  • providing you with products and services such as house and land packages, plans and specifications, and new housing developments;
  • providing you with information about our products and services and related products and services we consider may be of interest to you;
  • refining our products and services; and
  • facilitating our internal business operations including the fulfilment of any legal requirements.

Information we collect may be disclosed to entities within the Alaxia Group and third parties that we engage to assist in the delivery of our products and services. We engage third parties on contractual terms to ensure the security and privacy of any personal information that we provide to these third parties.

Third party service providers may hold or process data off-shore. Where personal information is transferred or disclosed overseas, we will take all reasonable steps to ensure that the information transferred or disclosed is subject to laws and requirements equivalent to the APPs. We will also use all reasonable efforts to ensure that the information that it has transferred will not be held, inappropriately used or disclosed by the recipient of the information.
We do not use your personal information for any other purpose without your consent. However, we reserve the right to use or disclose your information where required or permitted by Australian law or court order.

Direct Marketing

Alaxia Group may use your personal information that was collected from you to provide you with information about products and services which we expect to be of interest to you and fits best for your choices. At any time, you can choose to opt-out of receiving such direct marketing information from us by using the opt-out facilities provided with email communication, or by contacting us using the details provided at the end of the policy. 

Security

We will always take necessary precautions to ensure your personal information (in both physical and digital form) is stored in a safe and secure environment and protected from any misuse, loss or unauthorised access. We will take all reasonable measures to ensure that the personal information we receive about you is accurate, completed and up-to-date. Any personal information held by us will be destroyed or permanently de-identified when it is no longer needed for any purpose for which we might legitimately use or disclose it and it is no longer required to be held by us as a matter of law.

Access to and correction of personal information

The Privacy Act, APPs and the GDPR give you the right to access information held about you by us.  You may lodge a request to access and correct personal information that we hold about you if you believe it is inaccurate, incomplete, out-of-date, irrelevant or misleading by contacting our Privacy Officer via the contact details shown below.

You may request that we provide you with access to the personal information we hold about you.  Generally, we will provide you with access, except in limited circumstances where the APPs permit us to deny access.  Any such requests must be made in writing and directed to our Privacy Officer via the details shown below.  Under the APPs, we are permitted to charge you a reasonable fee for providing access to your personal information.  Please note that no fee will be incurred for requesting access, and if your request for access is accepted we will inform you of the fee (if any) that will be payable for providing access if you proceed with your request. 

You may ask us to inform you of the source of any personal information about you that we have collected from a third party.  We will provide this at no cost, except in limited circumstances where the APPs or other laws permit us to withhold this information.

You have the right to change the permissions that you have given us in relation to how we may use your data. You also have the right to request that we cease using your data or that we delete all personal data records that we hold relating to you. You can exercise these rights at any time by writing to our Privacy Officer at the address detailed below.

Anonymity and pseudonymity

You may choose to deal with us on an anonymous basis or use a pseudonym. However, in some instances if you do not provide us with the relevant personal information we require, we may not be able to provide you with the best products and services we offer. 

Website

Our websites use cookies, tags, Google Analytics and web navigational data collection to help us provide a better service to you. We do not use the information stored in those cookies to collect information about you or your computer.  The cookies are used for statistical purposes and to assist with your use of the website. We may also collect click-stream data when you use the website, such as the date and time of your visit, the pages you accessed, your IP address, the type of browser and operating system you are using and the websites you come from and move to.  This information is collected for statistical purposes to assist us to find out how our website is used and navigated and to improve our website.

Alaxia Group websites may contain links to third party websites. Alaxia is not responsible for the privacy, security or handling of your personal information via those websites. You should review the privacy policy and terms of use for those websites each time you visit them. 

Changes to our Privacy Policy

We may amend, modify or replace this Privacy Policy at any time. You should review our Privacy Policy each time you visit our website or provide us with your personal information. 

Acceptance

By using our Website or purchasing our products, you agreed to Alaxia Group using your personal information in accordance with this Privacy Policy. If, at any time, you do not agree to this Privacy Policy, you must immediately contact Alaxia Group in writing. 

If at any time you believe Alaxia Group has not handled your personal information in accordance with this Privacy Policy, please contact Alaxia Group immediately in writing. If you are not satisfied with how we have dealt with your complaint or if we cannot resolve your complaint, under the Privacy Act 1988, you can make a complaint to the Office of the Australian Information Commissioner. 

This Policy is effective from March 2021. Alaxia Group reserves the right to change this Privacy statement without notice in the future. It is your responsibility to ensure you are familiar with the current Privacy Policy.
